Letter approval

Your name is on every letter. When a staff member finishes a referral you handed off, this decides whether it can leave the office without you.

Always hold letters for my approval

On: nothing reaches the receiving office until you approve it — including a referral finished with the 6-digit code. You get a one-tap link by email, and your staff are told the moment you approve.
Off: a letter you approved on your phone goes straight out, and only a change to the wording brings it back to you.

Nudging the referring doctor

At most two nudges per referral — when it turns yellow and when it turns red. Emails only go out while your office is actively using this portal, and only once you’ve said where the patient stands — tapping Couldn’t reach on a referral is what sends it.

Nudge even when we haven’t heard from you about the patient — off by default. On, a referring doctor gets an email once a referral turns yellow or red even if nobody here has tapped a status, so it has to say the patient may already be booked. Leave it off and one tap sends a nudge that states a fact. Follow up with the referring office on day 3 when they haven’t answered the request for the patient’s contact info — off, the first request still goes out when you log the referral, and on day 5 the action item still tells you the patient will need to call in. Welcome the patient when a referring office sends their contact info — one text (or email) from your practice name: "we have your referral, here's how to schedule." Patients who prefer a call go on your action items instead. Text the patient once more when their referral turns yellow — "we still have your referral, please call in," from your practice name. Never more than these two texts per referral, only after the welcome went through, and never to a patient who replied STOP. If replies land here (below), the text invites one; otherwise it says the number isn’t monitored and gives yours. Patient text replies land on their referral here — reply from the card — and if a message sits unread past the cutoff, we automatically text the patient your office number so nobody's stuck waiting on us.
